Modules

Events

The Events Module is the core of the application. Here you can plan your Events, invite People to these Events and manage all related mailings.

Locations

The Locations Module contains simple records which determine the Location and the capacity of the related Events.

Invitations

The Invitations Module provides an overview of all invitees, the corresponding event and invite status (Accepted, Tentative, Declined).

Participations

The Participations Module allows you insight into the actual participants of an event, including a visual graph.

Costs and Revenue

The Costs Module and Revenues Module provide you with and overview and reports of the costs and revenues you amass for an event.

Speakers, Suppliers, Partners

The Speakers, Suppliers, Partners Modules are three separate modules that provide information about the speakers, suppliers and partners involved with the event.

Target Lists

With the Target List Module you can segment your contacts and sort them into specific target lists, which can later be used to easily send out invites to an event.

Basic Controls

The KINAMU Events Management Module uses the default Sugar UI. You can open the Events and Locations module by using the Sugar Navigation.

Creating an Event

Basic Event

When creating an Event you need to assign a Name, a start and end Date and an Email Template. The Email Template will be used for sending Invites, but later you can use a different one for your mailing.

The Events Record View has 3 Tabs Event Information, Details and Email Settings. The Event Information Tab contains general information for the Event and a description.

The E-Mail Settings Tab contains the sending method as well as the default Email Template, Reminder Template, Autoreply Template and Feedback Template.

The Details Tab contains the default Sugar fields responsible for assignment and team management.

Add Invites

There are two ways to add records to an Event. First is the manual way by selecting the records in the corresponding subpanel and adding them to the Event and the second one is by creating a Targetlist.

Invitations Information

The Invitations Information is composed of five columns. All of these Selection Lists can be customized with Sugar’s Dropdown editor.

  • Name of the Invite
  • Name of the Invitee (Contact)
  • Event
  • Date created
  • Invite status (Accepted, Tentative, Declined)

Working with Events

  • With “Send Invitations” you can send event invitations to the existing target lists.
  • With “Send Reminders” you can send event reminders to the existing target lists.
  • With “Send Feedback request” you can send feedback requests to participants after the event in order to collect their feedback.
  • With “Send Test Invitation”, “Send Test Reminders” and “Sent Test Feedback Request” you can preview the E-Mail with the data of a select Contact and send that Preview to arbitrary recipients.
