#1758 - Syncing Contacts and Account Fields

I am evaluating SugarChimp and have a question that I am sure is beyond the scope of support for this product but maybe it is an easy answer as I am sure it has to be a common one.

I want to get very granular in our mailchimp lists - where we want to send blasts to Sugar accounts that have a particular product and version and potentially other criteria. This is easy with field mapping if I only need to send/sync to the primary email contact of that account. However, is there a way I can say to send to all 'contacts' associated with this account (account name) which has this particular account criteria only in the account record? Otherwise I am limited to sending to one email within the organization.

The only other option I see is to also add this criteria to the contacts but this would increase workload substantially having to update each one every time there is a change.

Maybe I am over thinking this and there is a simply solution?

    Hi Tony, all good questions.

    As you've found, the Field Mapping tool works for fields that live directly on the Contacts module. You cannot sync data from related modules right now in a very straight-forward way. The best way to sync Contacts and data based on related module today is to follow the steps here: https://www.sugaroutfitters.com/docs/SugarChimp/sync-related-module-fields-to-mailchimp

    This method uses calculated fields to bring in the related field mapping data into the Contacts module so it can then be accessible in the Field Mapping tool. Once you can map that data to MailChimp, you can then segment on it in MailChimp.

    I don't think you're over-thinking this at all. We get a lot of requests for this. Our next major release will include a couple features that will help with exactly this. 1) You will be allowed to create filters that tell Sugar who should be on your syncing list from Sugar (only Contacts who's parent Account has A, B, C products, etc). and 2) In the Field Mapping tool, you will be able to sync related parent module data to MailChimp (actually sync to MailChimp that the Contact's parent Account has products A, B, C so you can segment). This will be able to work without the extra work of calculated fields.

    Calculated fields appears would do the trick but it also appears this option is not available in the CE version. :(

      Ahh, got it. I forgot that was only in Sugar Pro and above.

      Other than waiting on the new release (we do not have an exact release date yet), someone could customize this for you using custom code and logic hooks.

      Another option might be to prepare an import file for MailChimp. You could create the custom fields or Groups on your MailChimp list. Then export the data from the Sugar database (might have to use sql queries and pull it out of the database) including the email address it is associated with. When you import it into MailChimp you can have it update those specific fields on the MailChimp list. This might get you most of the way there, it would at least let you segment on the fields you want to from the MailChimp side.

      Another option I forgot about is to use something like Process Manager: https://www.sugaroutfitters.com/addons/process-manager-enterprise

      It's the perfect replacement for workflows and calculated fields in Sugar CE and SuiteCRM.
